RULES
Rules and terms
How TTW events work, and what we ask of hosts.
01What a Tokyo Tech Week event is
Tokyo Tech Week is a week in which startups, VCs, corporates, government and universities host events across the city, connecting Tokyo’s ecosystem. Each host plans and runs their own event, and we bring them together on the official site. It follows the same distributed format as the Tech Weeks in New York and San Francisco.
There are no side events
There is no central venue or keynote stage. Every event on the official site is treated equally, so a pitch night and a ten-person breakfast sit side by side.
You are the organizer of your event
The secretariat (Startup Ecosystem Association of Japan) does not organize individual events. We run the official site, handle promotion and provide training, and get the word out to attendees.
HOSTWhat hosts do
- Decide the content and speakers
- Arrange and pay for venue, catering and operations
- Take registrations on 4S and manage attendee data
- Run the event and keep it safe
SECRETARIATWhat the secretariat does
- List your event on the official site, linked to its 4S page
- Promote through the official site and social media
- Provide DEI and harassment training
- Answer hosts’ questions
02Requirements and ground rules
These are the key points of the Event Registration Terms. When you apply, you agree to the full terms below.
- 01
Held in Tokyo during the week
Tech-related events held in Tokyo between Wed 9 and Fri 11 December 2026. You may also stream online.
- 02
Register your event on 4S
Create your event page on 4S and enter its URL in the application form. The page can be public or unlisted when you apply. The official site links to each event’s 4S page.
- 03
Up to three events per host
Each host can register up to three events. Some partners, such as sponsors, are exempt.
- 04
Hosts cover costs; free entry recommended
Hosts pay for venue, catering and operations. We recommend free entry; if you charge, show the price on 4S.
- 05
Balance your speaker line-up
Events with several speakers should not have an all-male line-up. Moderators and facilitators count as speakers. If your event’s purpose gives a reasonable exception, state the reason on your event page.
- 06
Complete the DEI and harassment training
At least one lead organizer or staff member must complete the training provided by the secretariat, online on Thu 19 November, 17:00–18:00 or Fri 20 November, 12:00–13:00 (JST). Listing may be held until completion is confirmed.
- 07
State the language
When registering on 4S, state the language: English, Japanese, or both / with interpretation. We strongly encourage English. For Japanese-language events, we recommend AI translation tools.
- 08
Use the name and logo as per the guidelines
Once your listing is confirmed, you may use the TTW name and logo for that event’s promotion. The logo and guidelines are scheduled to be shared in November. You may not present yourself as a TTW organizer or partner without the secretariat’s written consent.
The secretariat does not guarantee that an event will be listed. Hosts are responsible for running their events, for safety, and for any disputes with attendees.
Event Registration Terms (full text)Adopted 22 September 2026
The Japanese version prevails. This English text is a reference translation.
Article 1 (Purpose)
These terms set out what organizations and individuals that list events on the official site of Tokyo Tech Week 2026 (“TTW”) (“hosts”) must observe. The Startup Ecosystem Association of Japan serves as the TTW secretariat (“the secretariat”). Each event is organized by its host; the secretariat does not organize individual events.
Article 2 (Registration process)
Hosts agree to these terms on the form designated by the secretariat, and must complete the DEI and harassment training to be held at a later date.
Hosts register the event on 4S, enter its URL (public or unlisted) in the form, and agree to these terms.
The listing on the TTW official site is confirmed after the secretariat reviews the event. The official site links to each event’s 4S page.
Article 3 (Eligible events)
Tech-related events held in Tokyo (including those also streamed online) from 9 to 11 December 2026.
Each host may register up to three events. Some partners, such as sponsors, are exempt.
The following events will not be listed:
- Events whose sole purpose is to sell a specific product or service
- Events mainly intended to support, oppose, recruit for or proselytize on behalf of a political party, political group, candidate, religion or religious organization, or similar activities
- Events that violate, or may violate, laws or public order and morals
- Any other event the secretariat judges inconsistent with the purpose of TTW
Article 4 (Costs and attendance fees)
Hosts bear the costs of running their events (venue, catering, operations, etc.).
Free entry is recommended. If you charge, show the price on 4S.
Article 5 (Gender balance of speakers)
Hosts should consider gender balance and diversity when selecting speakers.
For panel discussions and similar events with multiple speakers, the line-up should, in principle, not be all male. This does not apply where there is a reasonable reason arising from the event or its purpose; please state that reason on the event page. (Example: “This event is the demo day of an accelerator supporting women founders, so all presenters are women.”)
In this article, “speakers” include moderators and facilitators.
For events that do not meet the standards in the two preceding paragraphs, the secretariat may ask for the reason, and may treat them differently from events that do, including in listing order and placement on the official site.
Article 6 (DEI and harassment training)
Hosts should make every effort to provide an environment where diverse attendees are respected and can take part safely, and take care to prevent discrimination, harassment and any other conduct that undermines attendees’ dignity.
Hosts must have at least one lead organizer or other member of the operating staff complete the training on DEI (diversity, equity and inclusion) and harassment prevention provided by the secretariat.
Until completion is confirmed, the secretariat may hold the listing on the official site or place the event below events whose training has been confirmed, in listing order or presentation.
Article 7 (English-language events)
TTW welcomes international attendees and strongly encourages events in English. For events held in Japanese, we recommend introducing AI-powered translation tools.
When registering on 4S, state the language used (English / Japanese / both or with interpretation).
Events held in English may be shown higher in the event list on the TTW official site.
Article 8 (Use of the logo and name)
Hosts may use the TTW name and logo, following the guidelines specified by the secretariat, only to promote events whose listing has been confirmed.
Hosts may not describe themselves as a TTW organizer, partner or similar without the secretariat’s written consent.
Article 9 (Personal information)
Hosts are responsible for managing attendees’ personal information in accordance with 4S’s terms of use and the host’s privacy policy.
Article 10 (Scope of responsibility)
A listing may be delayed or may not appear before TTW if, for example, the form is submitted at the last minute, there are questions about the event’s content, or far more events are registered than expected. The secretariat gives no guarantee or commitment regarding listing on the official site.
Hosts are responsible for running their events, for safety, and for any disputes with attendees.
The secretariat runs the official site, handles promotion and provides training, and is not responsible for running individual events.
Article 11 (Exclusion of anti-social forces; changes to the terms)
Hosts represent and warrant that they are not anti-social forces (organized crime groups or related parties).
The secretariat may change these terms as needed. Revised terms will be published on the official site.
Article 12 (Measures for violations)
If a host violates these terms, the secretariat may remove the listing from the official site.
If a host is found to have seriously violated these terms, made a false declaration, or otherwise seriously harmed the purpose or operation of Tokyo Tech Week, the secretariat may refuse that host’s participation or event registration in future editions of Tokyo Tech Week.
